How to Add a Signature in Gmail (Desktop)

Step 1: Open Gmail Settings

  1. Open Gmail in your web browser
  2. Click the gear icon in the top-right corner
  3. Click "See all settings"
Tip: You can also access settings by typing gmail.com/settings directly in your browser.

Step 2: Find the Signature Section

  1. You'll be on the "General" tab by default
  2. Scroll down until you see the "Signature" section
  3. It's usually about halfway down the page

Step 3: Create a New Signature

  1. Click "Create new"
  2. Enter a name for your signature (e.g., "Work" or "Personal")
  3. Click "Create"

Step 4: Add Your Signature Content

In the signature editor, you can:

  • Type your signature text
  • Use the formatting toolbar to add bold, italic, colors
  • Add links by highlighting text and clicking the link icon
  • Insert images (see adding images section)

Example signature content:

John Smith
Marketing Manager | Acme Corp
john@acme.com | (555) 123-4567

Step 5: Set Signature Defaults

Below the editor, you'll see dropdown menus:

  • "For new emails use" - Select your signature
  • "On reply/forward use" - Select same or different signature

Step 6: Save Changes

  1. Scroll to the very bottom of the settings page
  2. Click "Save Changes"
  3. Your signature is now active!

How to Add a Signature in Gmail Mobile App

iPhone/iPad

  1. Open the Gmail app
  2. Tap the menu icon (☰)
  3. Scroll down and tap Settings
  4. Select your email account
  5. Tap Mobile signature (sometimes shown as Signature settings)
  6. Enable Mobile signature if prompted
  7. Enter your signature text
  8. Tap OK/Save (or go back) to apply
Note: Gmail mobile signatures are separate from desktop signatures. If you want the same signature everywhere, set up both.

Android

  1. Open the Gmail app
  2. Tap menu icon
  3. Tap Settings
  4. Select your account
  5. Tap Mobile signature
  6. Enter your signature
  7. Tap OK

How to Add Images to Your Gmail Signature

Option 1: Insert / Upload an Image

  1. In the signature editor, click the image icon
  2. Choose an image from the picker (options vary by account, but usually include Upload and/or Drive)
  3. Select the image and click Select (or Insert)
  4. Resize the image if needed
Note: Images count toward Gmail’s signature size/character limits. If you get an error, try resizing or compressing the image.

Option 2: Insert by URL (Hosted Image)

  1. Upload your image to a public hosting location (e.g., your company website)
  2. In the signature editor, click the image icon
  3. Select Web Address (URL)
  4. Paste the direct image URL
  5. Click Select

How to Create Multiple Gmail Signatures

  1. Go to Settings → Signature section
  2. Click "Create new" for each signature you need

When composing an email, click the pen icon at the bottom of the compose window to select a different signature.
